Lion House Conference Terms & Conditions

  1. The deposit amount advised in your confirmation is payable within 2 weeks of booking your function. Until the deposit is paid your booking is provisional and should a further enquiry be received, we reserve the right to ask for immediate confirmation or instruction to release the booking.
  2. Upon paying the deposit you are agreeing that our terms and conditions have been accepted and that you are proceeding with your event in accordance to these.
  3. The estimated balance must be paid 2 weeks prior to your function date unless stated otherwise.
  4. Details of your booking and numbers must be advised no later than 2 weeks prior to your function date with any outstanding balance paid.
    Cancellation scale of charges:
    Up to 15 days prior to your function:               Deposit forfeited
    Less than 14 days to your function:                  No refund of total monies paid
    No refunds will be made should delegates fail to show on the day
  5. Amendments to guest numbers and/or arrangements must be confirmed to The Lion House via email.
    No charge will be made for any reductions in numbers as long as they do not fall below the minimum guaranteed number and providing they are received in writing by The Lion House at least 2 weeks prior to arrival.
  6. Slight amendments must be notified to The Lion House at least 3 working days prior to arrival but no refunds will be permitted at this point.
  7. If you wish to change the date of your function the same cancellation charges apply if notified within one month of the event date.
  8. The Lion House may cancel the booking if:
    • The booking might, in the opinion of The Lion House, prejudice the reputation of The Lion House
    • The Client is more than 30 days in arrears of previous payments to The Lion House
    • The Lion House becomes aware of any alteration in the client’s financial situation
  9. Access to the meeting room is allowed ½ hour prior to function start time unless specifically requested by the hirer and authorised by The Lion House Manager. We reserve the right to prevent access outside of the stated times to enable us to provide an adequate service.
    You will be expected to depart from the meeting room ¼ hour after function finish time.  This may be varied upon specific request and assuming availability.
  10. Special dietary requirements must be notified as soon as possible but within three working days of the event date at the latest. We cannot guarantee requests will be accommodated after this time.
  11. Unless otherwise agreed, all catering will be served in the reserved areas and consumed within the meeting room.
  12. Equipment brought in for use by the hirer must be subject to current PAT testing and must have been approved by The Lion House manager organising your event.
  13. We do not allow any type of media to be introduced to our computer systems and cannot, therefore, print from CD / USB or any other storage device.
  14. Where possible we have fulfilled the requirements of the Disability Discrimination Act, however it is the responsibility of the function organiser to provide the Management, prior to the function, with details of any disabled guests that will be attending the function. This will assist us in ensuring that all Health & Safety requirements are met and appropriate facilities are provided. The function organiser is expected to co-operate with the Management during any time of emergency or evacuation.
  15. The client is totally responsible for the conduct of all persons attending the function and any wilful loss or damage arising. In the event that damage does arise, a charge will be made to the function organiser to cover repair and/or replacement costs. The client will be advised of any such charge or estimate upon departure or within 72 hours of departure, with settlement of the same being required immediately.
  16. Conference Delegate Rates are available for whole parties only. The minimum number will have been advised dependant on the meeting room booked. If a larger room is requested then both the Delegate Rate and the published Room Hire charge will apply. The Management reserves the right to allocate rooms according to circumstance and the number of Delegates.
  17. A pro forma invoice will be sent out after a firm indication of numbers has been given. This is due for payment prior to the conference, or meeting, taking place. This payment must be made by credit / debit card or bank transfer. If payment is to be made by bank transfer we must be in receipt of the cleared funds 7 days prior. Any late payments on authorised credit accounts will incur interest at 3%, which will accrue on a daily basis.
  18. All rates shown are non-commissionable unless agreed in writing with Lion Management and stated in your confirmation email
  19. Where a function room has been laid in accordance with the requirements confirmed prior to the event and we are subsequently requested to relay it in a different style on the day we reserve the right to levy an additional charge.
  20. All prices are inclusive of VAT at the current rate unless specifically stated otherwise. Cancellation charges are outside the scope of VAT.
  21. The Lion House provides complimentary WiFi as a free benefit to guests. The company accepts no liability if for any reason this service should cease to be available.
  22. The Lion House Management can provide projection facilities and operation of two microphone channels (radio, lapel and headset). For any additional AV requirements above this, the client will need to hire Event, sound & Light, our external sound technicians. Please note that we are unable to permit access to our system by any other sound tech engineering companies.
